Know what marketing works | Document New Patient Referrals

How are you doing at documenting new patient referrals?

Below are instructions to run new patient reports in both Dentrix & EagleSoft so you can look to see how many referral sources you are capturing. If you’re not at 95% or more, then you may want to set up a system to make sure you’re gathering these referrals.

To run a new patient report in Dentrix:

  1. Office manager – Reports
  2. Lists
  3. New patients list
  4. Edit first visit date for the month
  5. Checkmark Standard report
  6. Click ok, then print from the batch processor

You will see the first visit date, first procedure date and the referral source listed.

To run a new patient report in EagleSoft:

  1. Home screen – Reports
  2. Choose Patients then select Patient Master and Process
  3. This brings up a new window – choose the first visit dates for the month
  4. Click Preview Report
  5. Then Print

This first report shows you all the new patients.

Next, you have to run a separate report to find the referrals:

  1. Home screen – Reports
  2. Choose Referrals then select Referral Productivity Detailed Report and Process
  3. This brings up a new window – select Other Range of End of Days – and enter the dates for the month. Also enter the first of the month into the field: First visit on or after ___.
  4. Click Preview Report
  5. Then Print

Now, you need to compare these two reports to find a new patient listed on the first report, but not listed on the Referral report – those are the ones missing referrals.

Set up a system
